Are you a resident or an individual with a passion for the East Hants and districts area? The East Hants & Districts Chamber of Commerce is currently seeking an Assistant Chamber Coordinator to join our team.  This position is ideal for an individual who would thrive in a community focused business and dynamic organization.  The Assistant Chamber Coordinator will be responsible for working alongside the Chamber Coordinator to carry out various tasks associated with the position.  This is a part time position with working hours between 15 and 20 per week.

  • Must have a valid driver’s license and a reliable vehicle
  • A combination of education and experience will be considered; however, preference will be given to individuals with 2 or more years of experience with Business/Office Administration and Bookkeeping
  • Experience working in a not for profit organization would be an asset but not required

Responsibilities: 

 Bookkeeping:

  • Reconcile accounts; post journal entries; receivables and payables
  • Maintain general ledgers and financial statements; prepare financial and accounting reports
  • Keep financial records and establish, maintain, and balance various accounts using manual and computerized bookkeeping systems
  • Prepare HST, Workers Compensation report and remittances, issue invoices in a timely manner
  • Process overdue accounts

Administrative/Office Coordination

  • Process incoming and outgoing mail
  • Assist with the registration and logistics for Education Training
  • Perform general office duties including but not limited to: filing, faxing, photocopying, backing up computer files, purchasing supplies
  • Book boardroom for meetings, rentals and training
  • If required: Attend monthly Board meetings and some committee meetings, take minutes, prepare agendas.
  • Prepare monthly Visa statements, bank statements and merchant services statements
  • Generate reports and track budgets for committees and projects
  • Prepare and submit bank deposits, pay monthly remittances
  • Process credit and cash payments, invoicing for memberships
  • Prepare, update and submit annual filing with the Registry of Joint Stock Companies
  • Collect rent from tenants

Communications/Public Relations/Event Planning:

  • Interact with board and chamber members
  • Provide support as needed to the Chamber Coordinator, Executive, and Committees
  • Assist with the development, editing and distribution of the monthly newsletter
  • Monitor and inform members of annual membership renewals as well as updating the website membership directory and email distribution lists.
  • Maintain member files
  • Responding to general inquiries through phone calls, in person, and emails
  • Book meetings and event venues
  • Register event guests and handle payments
  • Assist with set up, attend and participate in events

Essential Skill Requirements:

  • Excellent communication skills both verbal and written
  • Well organized, detail oriented with a proven ability to function successfully in a fast paced, deadline driven environment
  • Possess strong computer skills: Microsoft Office Suite, Word, Excel, Outlook, Power Point, Publisher, SAGE 50 (Simply Accounting). Word Press would be an asset but not a requirement
  • Strong interpersonal, organizational, and analytical skills
  • Reliable and dependable with the ability to work independently and in a team environment
  • Critical thinker and confident while making effective decisions
  • Able to prioritize responsibilities and report to a board of directors
  • Flexible individual who is adaptable to changing priorities
Salary Range: $16-$20 per hour depending on experience
